Personal data we process
The only personal data we process is what you send to us directly, ordinarily by email. This typically comprises your name, your email address, and the contents of your correspondence. We do not process special category data and do not seek it.
Purpose and lawful basis
We process correspondence in order to read it, reply to it, and keep a record of it. The lawful basis is our legitimate interest in managing the office’s correspondence (UK GDPR Article 6(1)(f)) and, where relevant, the necessity of taking steps at your request prior to entering into a contract (Article 6(1)(b)).
Recipients
We do not sell, rent, or share personal data. We may disclose information to professional advisers (such as legal or accounting counsel) where necessary, or where required to do so by law.
International transfers
Correspondence is handled in the United Kingdom. Email is routed and stored using providers that may process data in the European Economic Area or, under appropriate safeguards, elsewhere. We do not transfer personal data internationally for any other purpose.
Retention
Correspondence is retained only for as long as is necessary for the purposes described above, and thereafter for reasonable record-keeping consistent with our statutory and contractual obligations.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to request correction or deletion, to restrict or object to processing, and to data portability. Requests may be made in writing to office@hfjoandco.com.
You may also lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.
